Prebooking terms and conditions

1. Identification of the organiser

The contract is entered into with Skål Club de Cádiz, trading as Skål Internacional Cádiz.

2. What prebooking means

Prebooking consists of an individual advance payment of EUR 155.00 per participant, including VAT. The price includes the applicable VAT; a breakdown of the taxable amount, included tax and total will be shown before payment is confirmed. Payment processing fees are included in the final price, and no surcharge is added when completing payment.

The prebooking:

Users may group several prebooking units in a single order. The form requests the contact details of the person responsible for the order; the rules for identifying each participant and the terms applicable to grouped units must be specified before final booking.

3. Precontractual information and contracting process

Before payment, the organiser's identity, the essential characteristics of the advance payment, the total amount and stated availability, these terms, the Privacy Notice and accepted payment methods are displayed.

Users may review and correct their details before continuing; if an error is found after payment, they must contact the organiser and provide the order reference. Users enter their details, expressly accept these terms and acknowledge reading the Privacy Notice, then continue to the secure Stripe Checkout page. Card details are entered exclusively on Stripe. An order is not considered paid until the platform verifies the corresponding payment event.

The website offers navigation in Spanish, English and French. Contracting requires the terms to be available in the selected language. The organiser retains the order reference and the version of the contractual documents, and a copy may be requested by email.

The payment provider's final payment button must clearly indicate that the transaction entails an obligation to pay. Confirmation of the contract and the receipt will be provided on a durable medium in accordance with applicable law and will remain accessible through the channels notified to the contracting party.

4. Availability and limit on places

Prebookings are accepted until the published availability is exhausted. The platform temporarily holds inventory during payment and releases it if the session expires or is not confirmed. In the event of unavailability, a technical error or a duplicate confirmation, the affected person will be informed and the relevant amounts refunded.

5. Price and payment

The current final amount is EUR 155.00 per prebooking, including VAT and processing fees. At the applicable VAT rate of 21%, the breakdown is EUR 128.10 taxable amount and EUR 26.90 VAT, without exceeding EUR 155.00 per unit. The taxable amount, included VAT and total are shown before payment begins. Payment is processed through Stripe Checkout using the methods available on the payment page. Skål Club de Cádiz does not store full card numbers or card security codes.

The invoice will be issued by Skål Club de Cádiz in accordance with Spanish tax law and the details supplied for its issue.

6. Non-refundable nature, withdrawal and cancellation

Once the statutory withdrawal period has expired, the prebooking is not refundable for voluntary cancellation unless a refund is required by law. This rule does not limit the right of withdrawal, refunds of incorrect or duplicate charges, cancellation by the organiser or refunds arising from a breach of contract.

This prebooking does not in itself confirm a specific leisure service with a fixed performance date. The organiser recognises the consumer's right to withdraw within fourteen calendar days of entering into the contract, without giving a reason and with the effects provided for in Articles 102 et seq. of the consolidated Spanish General Law for the Protection of Consumers and Users. Accepting these terms does not waive that right. Any exceptions applicable to final services linked to specific dates will be disclosed before those services are contracted.

To withdraw, simply send an unequivocal statement before the deadline to info@skalcongresscadiz2027.com or Skål Club de Cádiz, Calle San Francisco 9, 11004 Cádiz, Spain. You may use the model notice at the end, but this is not mandatory. All payments received will be reimbursed without undue delay and no later than fourteen calendar days after notification. Reimbursement will use the same payment method unless expressly agreed otherwise, without the consumer incurring any fees as a result of the reimbursement.

After the statutory period has expired, changes of plans, non-attendance, lack or refusal of a visa, or failure to complete the final booking do not entitle the participant to a voluntary refund, without prejudice to mandatory rights. Final booking deadlines must be communicated sufficiently in advance. No subsequent change may unilaterally remove the paid credit or contractual rights contrary to law. Nevertheless, in keeping with the principles and values of Skål International and in the event of force majeure, the prebooking may be transferred to another member of the same club.

7. Identification for the final booking

A paid order generates a reference and an identification code associated with the email address provided. The person responsible must retain them. The code identifies the entire order and the number of places it contains; its entitlements may be used in part, without exceeding the places paid for. The code does not replace the final booking and may not be transferred to or used by another person, except in the force majeure circumstances described in the preceding section and always subject to the organiser's express authorisation and verification.

8. Benefits and visa support

The advance payment will be applied as credit towards the final booking linked to the code, up to the amount actually paid and not previously used. It cannot be exchanged for cash or transferred to another prebooking.

The organiser will notify prebooking holders of early opening before general access begins. During that phase, priority is determined by the date and time of confirmed payment. Priority improves the order of access but does not in itself guarantee a particular room, activity, category or service, all of which remain subject to availability and the published deadlines.

For participants who need a visa, the organiser will provide guidance on congress documentation and, where appropriate and after booking details have been verified, a letter or confirmation of participation. Each participant is responsible for submitting their application, providing personal documentation, meeting consular deadlines and paying the relevant fees. The organiser does not decide on visas or guarantee that they will be granted, and refusal or delay does not make the prebooking refundable unless required by law.

9. Assistance and complaints

Enquiries and complaints will be handled at info@skalcongresscadiz2027.com and may also be addressed to Skål Club de Cádiz, Calle San Francisco 9, 11004 Cádiz, Spain. Consumers may also contact public consumer protection bodies and use the out-of-court mechanisms legally applicable in Spain.

10. Data protection

The processing of personal data is explained in the platform's Privacy Notice. Acknowledging that the Privacy Notice has been read is not the legal basis for performing the contract and does not authorise promotional communications. These require a separate, optional choice.

11. Applicable law and jurisdiction

These terms are governed by Spanish law. Jurisdiction will be determined under the applicable mandatory rules, particularly respecting the competent court corresponding to the consumer's domicile and without limiting their rights.
